MU-WCOM Clerkship Policies

Supervision

  • Medical students participating in clinical activities and patient care must be supervised by physicians, nurses, and other licensed practitioners practicing within the scope of their credentials as defined by the clinical site.
  • Faculty supervising students must be in good standing and credentialed by the medical school’s affiliated institution.
  • Students may perform duties within the scope of practice of their preceptor under direct supervision.
  • Applicable policies are outlined in the MU-WCOM Student Handbook.

Fatigue Mitigation

  • Student work hours during clerkships are limited to no more than 80 hours per week.
  • Students must receive one day in seven free from patient care and educational obligations, averaged over a four-week period.

Inclement Weather

  • The MU-WCOM inclement weather policy does not apply during clerkships.
  • Students must follow the policy of their supervising preceptor.
  • If concerned about commuting in extreme weather, students should use best judgment and notify their preceptor if unable to attend.

Student Recordkeeping and FERPA

  • Consistent with FERPA requirements, preceptors may not communicate information regarding a student’s grades or evaluations with anyone except the student and authorized individuals at Marian University.
  • Preceptors attest to this agreement through each MU-WCOM Clerkship Evaluation Form.
  • Applicable policies are outlined in the MU-WCOM Student Handbook.

Preceptor Recusal

  • Students may receive healthcare services from an assigned preceptor provided the preceptor recuses themselves from all academic assessments or promotion decisions related to that student.
  • The preceptor and/or student must notify the school if a therapeutic relationship exists.
  • MU-WCOM will take appropriate steps upon notification.

One month of vacation may be used in place of one elective during the third or fourth year.

Clerkship Expectations

Evaluations

  • All third- and fourth-year clerkships require completion of a preceptor evaluation to establish a final grade.

Expectations of Preceptors

  • Submit evaluations within seven calendar days of clerkship completion.
  • Actively engage students and provide ongoing feedback.
  • Provide mid-clerkship feedback with recommendations for improvement.
  • Review student evaluations with students prior to completion of the clerkship.

Evaluation Submission Guidelines

  • New Innovations – Evaluations submitted electronically via email link (www.new-innov.com).
    • Login credentials provided in the Preceptor Welcome Packet.
    • Assistance available from the MU-WCOM Clerkship Coordinator.
  • Email – Electronic or scanned evaluations may be sent to mucom-clerkships@marian.edu.
  • Hand Delivered – Printed evaluations may be delivered by the student; sealed and signed envelopes are required.
  • Mail – Evaluations may be mailed to:

Evaluations not submitted according to guidelines will be returned to the preceptor.

Student Evaluation of Core Clerkships

  • Students must evaluate each core clerkship within seven days of completion.
  • Feedback is anonymous and reviewed only in aggregate.
  • Biannual feedback is shared with designated site personnel when sufficient evaluations are available.

Core Clerkships

  • Core clerkships are one month in length and required for graduation.
  • To receive five credit hours, students must complete at least 140 hours of clinically relevant activities.
  • Activities may include direct patient care, teaching rounds, conferences, literature review, required readings, online modules, and indirect patient care (including telemedicine).

Selective and Elective Clerkships

Clinical Electives

  • Clinical experiences related to patient care, including simulated training, telehealth, telemedicine, and online clinical rotations.

Non-Clinical Electives

  • Academic or research-based experiences.
  • A maximum of two non-clinical clerkships may be completed unless additional approval is granted by Clinical Affairs leadership.

Rotation Restrictions

  • Family: One elective or selective may be completed with a family member as preceptor; core clerkships are not permitted with immediate family.
  • Same Preceptor: Students may rotate with the same preceptor for a maximum of three months.
  • Same Specialty: Fourth-year students are limited to five months in any single specialty.

Clerkship Attendance

  • 100% attendance is expected.
  • Non-emergent absences require advance approval and must be made up.
  • Emergent absences must be reported to the preceptor and MU-WCOM Clerkship Coordinator within 24 hours.
  • Prolonged illness and bereavement are handled case-by-case.
  • Approved MU-WCOM absences (interviews, exams, conferences, etc.) will be communicated to preceptors.

Residency Interviews

  • Fourth-year students may take up to four days off per clerkship for residency interviews.
  • Scheduling must be coordinated with the preceptor.
  • Approved interview absences are communicated by the Division of Clinical Affairs.
